How to use the Kanban board

A Kanban board is a visual way to follow the work: each column is a stage, each card is an activity in that project. When the work changes stage, you drag the card to the next column. The status stays visible to the team — without a spreadsheet of “where is this?”.

It is not another tool or another registry. It is the same project activity list, seen from the side. On the Activities tab the stages appear as lists, top to bottom. On Kanban, those same lists become columns, left to right. What you create, move, or complete on one side appears on the other.

💡 Who can create a column, drag a card, and edit a title depends on the activity permission on the project. The administrator and the project manager always can. A member only can if the project rule allows it.

How the board works

Think of a conveyor. On the left is what has not started; in the middle, what is in progress; on the right, what already shipped. Column names are yours — Rabbiit does not impose “To do / Doing / Done”. A website team may use Brief, Layout, QA, Published. A consulting team, the queue that makes sense for that project.

The value is seeing the flow. A swollen middle column and an empty last column means the team started a lot and finished little. That shows up without a meeting.

How to open it

  1. Open the project.
  2. Click the Kanban tab.

The board belongs to this project. The activity list across all projects on the home page does not replace Kanban — it only shows the set.

If the project has no list yet, Rabbiit creates the first one named General activities. Rename it at the top of the column.

Columns (the stages)

Each column is a list. Click the name at the top to edit it.

To the right of the board: Add new column.

In the column menu (the arrow next to the name):

  • Create list… — to the left or to the right
  • Move list… — to the left or to the right
  • Delete list
  • Color — this column’s color

Delete list removes the column and the activities that were in it. The screen confirms how many cards go with it. You can undo right away or restore later from the trash.

An activity in that column follows the same color on the list, in reports, and on the time entry, until it has a color of its own. The project color sits next to the name, in the project edit. The task color sits next to the name, in the task edit. Both also show on lists and in reports.

Do not create one column per person. A column is a stage of the work, not “João’s queue”. The owner lives on the card, in Assigned to. A mark for priority or client is a tag, not a new column.

Cards (the activities)

At the foot of the column: Add activity. Type the title on the line. Use a name the team will still understand in a month.

On the card, without opening the detail, the board already shows what you need to scan the column:

  • title
  • whether it has a description, attachment, comment, or subactivity
  • who is assigned and the due date
  • hours already logged and, if there is one, the estimate with the progress bar
  • a check mark, if the card is complete

Moving the work

Drag the card to another column — or to another position in the same column. That changes the activity’s list. It is the same List field on the card detail.

The card menu can also move it up, down, to the left or right column, mark it complete, and delete it.

Mark complete does not delete the card and does not take it off the board by itself: the card stays in the column, with the check mark. Whoever coordinates sees what already shipped without losing the trail.

Do not keep “one board on Kanban and another list on the Activities tab”. They are the same columns. If the stage changed, move the column — do not create a new card “just so it shows on the board”.
