Set and manage billed hours

In Rabbiit, managing billed hours is essential to keep precise, efficient financial control of your projects. It ensures accurate control and makes client billing easier. This article details how you can view, mark, and control billed hours using the detailed and summary reports.

Detailed report

The Detailed report in Rabbiit displays a complete list of all time entries, including information such as user, project, total hours, billable amount, and billing status. For closing, the most useful slice is the previous month — the month that is already complete.

Showing billing columns

You can customize the columns shown in the Detailed report to include or hide information as needed. To manage columns, click the gear icon in the upper-right corner and select or clear the columns you want to see.

If the Invoiced column is not visible, turn it on in the gear menu. Hours already invoiced appear in green; the rest show as uninvoiced.

Selecting and marking entries

To mark hours as billed, select the desired entries by clicking the checkboxes to the left of each entry. After selecting the entries, click the "Actions" button in the upper-right corner and select "Mark selected as billed".

Billing confirmation

A confirmation window appears showing the total amount to be billed. Review the details and click "Confirm" to complete the action. The billing attribute is applied only to billable hours, even if you select non-billable hours.

Mark all entries as billed

To mark all entries as billed at once, click "Actions" and select "Mark all as billed". This action applies the billed status to all entries listed in the report.

Edit lock after billing

After you mark hours as billed, nobody can edit or delete the entry. However, you can revert the status to "Not billed" to allow edits. To do that, select the entries and choose "Mark selected as not billed".

To see details about an entry lock, hover over the lock icon next to the entry. This icon provides information about the lock reason and the current conditions.

Additional restrictions

  • Entries with an active timer cannot be billed. Make sure the timer is stopped before trying to mark an entry as billed.
  • Only users with the appropriate permissions can mark hours as billed. This includes Administrators and Super users, depending on the account permission settings.

Billing summary report

The Summary report offers an aggregated view of your projects' billing status. This report presents charts and groupings that show financial progress and billing status by client, project, and month.

Showing billing columns and charts

As in the Detailed report, you can customize columns in the Summary report. In Columns, turn on Invoiced and Uninvoiced.

For the chart, select the third one: "Invoiced Status". It compares what is already marked with what is still pending, in the same month slice.
