Export a report to PDF
The report PDF already comes formatted to send: client, board, or the file in the close folder. It is not a table dump. The layout adjusts itself (PDF print), with the logo and header the account configured.
It works on the detailed report and the dynamic summary. Both use the same file type and the same appearance settings.
💡 The print PDF shows only the columns visible on screen, at most 9. Before exporting, open Columns and leave only what the recipient needs to see.
How to generate the PDF
Menu to export the report as PDF
- Open Detailed or Customizable summary and apply the filters.
- Under Columns, leave visible the ones that should go into the file (up to 9).
- Open Export and choose PDF print.
- On the dynamic summary, if the recipient does not need the filter list, check Hide filters in the header.
- Click Export. A large file may go by email when processing runs in the background.
Detailed and summary also have Excel print: the same automatic layout, in .xlsx, for anyone who still wants to tweak a cell before printing. That is not the formatted spreadsheet for pivot — that one is in the Excel and CSV article.
Logo and header (account)
Whoever administers the account sets the PDF identity in General settings (profile menu → General settings), Export report elements section:
- Logo — PNG or JPEG, up to 2 MB. It appears on the exported report. You can replace or remove it.
- Report header — free text: company name, address, website, phone, email. This block goes at the top of the PDF.
Save with Save elements. With no logo and no text, the PDF comes out with only the table and the filters (if they are not hidden).
This section requires the report-customization feature of the plan. The administrator is who changes it; the owner and the team use what was saved.
Currency and time zone (account)
On the same General settings screen, Currency and time zone settings block:
- Currency and currency format — how amounts (billable, cost, margin) appear in the PDF.
- Time zone — the account time zone, used in the interface and as the day/week reference.
This belongs to the account, not to each user. Every PDF from that account follows the same currency and the same time zone.
Hour format (your user)
The printed hour number (10h 30m, 10:30, decimal…) comes from your user preferences:
- Profile menu → Profile and preferences.
- Time format in reports — humanized (
10h 30m),10:30(HH:MM),10:30:00(HH:MM:SS), or decimal (10.50).
Save preferences before exporting. Whoever generates the PDF uses their format, not the recipient’s.
There is also a default time format (day-to-day screens) and a clock format (12h / 24h clock). What the duration PDF uses is Time format in reports.
When to use
Use the PDF when the file needs to look like a company report — logo, header, few columns, ready to attach to an email.
Do not use the PDF to reprocess 30 columns in Excel. That is formatted Excel or CSV.
