Set billable hours and hourly rate

The billable hourly rate is what the account charges per hour for that person on that project — the amount that goes into the billable total. It is not the labor cost (what the person costs the company).

Rabbiit only calculates billing if the hour is billable: billable project, billable task, and, if you customized it, billable member. The rate × the entry duration becomes the amount for that entry.

In the app the field appears as Billable hourly rate (project, person, or profile default). Here we call it billable hourly rate so it is not mixed up with cost.

How the amount is calculated

Each billable entry: duration × current billable hourly rate on that day, on that project, for that person.

Example: rate R$ 55/h and 1 h 50 min (1.83 h) → R$ 100.83. The system does the math. On the time entries list the amount appears on the entry.

The billable hourly rate itself does not change — the discount is in the consolidation.

Billable project

Without the project marked as billable, no hour on that project generates value — even if the task or the person is billable.

  1. Open the project.
  2. Edit project, Budget tab — or the header shortcut Budget and billing.
  3. In the Billing block, choose Billable hourly (not Not billable).
  4. Enter the project default rate, with the / hour suffix.

  • Set the value used from the beginning
  • Replace the most recent period value
  • Apply to entries from a date

The Hourly rate history list stores the effective periods. Entries already billed are not recalculated.

💡 Plan: a billable project and rate history require the billing feature. Without permission to edit the project's billing rate, the block does not open for saving.

Per-person rate on the project

In addition to the project default, each member can have their own rate — common when the client pays differently by role.

  1. Members tab.
  2. Click the hourly rate next to the person.
  3. User billable: Billable or Not billable (on this project).
  4. Billing preference: Project default or Custom per user.
  5. If custom: User hourly rate.
  6. Apply. The same effective-period options apply (from the beginning / replace / from a date).

Without a custom rate, the project rate applies. A Not billable member on this project zeroes billing for their hours, even if the project is billable.

Per-person adjustment on the project requires the per-user billing feature.

Default on the person's profile

On the profile (Users → name → Rates tab):

  • User billable by default — when they join a project, they start as billable or not.
  • Default billable hourly rate — if filled in, it becomes that person's custom rate on that project at the moment they are added.

This does not replace the adjustment on the Members tab. It is the starting point. The labor cost is on the same tab and does not enter this calculation.

Billable tasks

On the project Tasks tab, each task can be Billable or Not billable (Task billable). Hours on a non-billable task stay at R$ 0, even with a billable project and person. Use it for internal work, warranty, or anything the contract does not charge.

When you change the task's billable status, Rabbiit recalculates that task's hours — except those already billed.

From rate to billing

Setting the billable hourly rate does not issue an invoice. It only builds the billable amount of each entry. Closing with the client is the report:

  1. Detailed report — each hour, billable amount column, project and period filter.
  2. Customizable summary — total by client, project, or person (Billable amount, net revenue, margin).
  3. Export the slice that goes to the client (PDF) or to the spreadsheet (Excel and CSV).
  4. When billing has gone out, mark the hours as billed — locks the entry and separates what is still pending.

Without a rate and without a billable project, the report still lists hours — the billing money does not appear.
